What to have ready for the venue
Know when the room can be entered. The cleaning window usually sits between the caterer packing up and the next booking, and a clear start time keeps the job honest. Tell the office whether the venue has carpet, hard floors or both, because a ballroom reset and an outdoor party area are not the same task.
Say who will be on site to let the crew in and who decides when the room counts as done. Mention anything that needs care: rented furniture, a stage, a dance floor, a pool deck.
